We’re seeking a Veterinary Hospital Manager to help lead our team and keep our clinic running smoothly. This is a hands-on leadership role that touches every corner of the hospital—from operations and team management to client experience and compliance. We’re looking for someone who thrives on organization, loves people as much as pets, and is eager to foster a workplace culture that is productive, supportive, and enjoyable.
 
What You’ll Do
 
Operational Oversight (Vetcor Systems):
You’ll manage critical daily and monthly tasks through our internal systems including Dayforce and Skyworld:
  • Adjust and approve timecards, PTO, and sick leave
  • Enter new hires and manage payroll functions
  • Submit invoices and enter CE/expense reimbursements
  • Upload daily deposits and monthly inventory (vaccines, flea/tick, HWP)
  • Submit Help Desk tickets for support needs
  • Coordinate updates for the clinic website
Front Desk Staff Management:
You’ll oversee a team of receptionists, ensuring smooth operation and excellent service:
  • Schedule and supervise daily workflow and productivity
  • Train and onboard new front desk employees
  • Host monthly front desk training and weekly updates
  • Conduct annual performance reviews with lead receptionist
  • Handle recruiting, hiring, and employee relations
Technical & Assistant Staff Leadership:
You’ll support and collaborate with the lead technician to maintain a strong medical support team:
  • Assist with scheduling, hiring, and training
  • Handle HR matters including reviews, coaching, and compliance
  • Maintain updated employment policies and manuals
Team Culture, Morale & Growth:
We value a healthy and supportive environment. You will:
  • Attend daily huddles and facilitate front desk participation
  • Lead monthly staff and management meetings
  • Conduct quarterly 1:1 check-ins with all staff
  • Mediate issues, boost morale, and plan continuing education
Client Service & Communication:
As the liaison between clients and our team, you will:
  • Ensure a welcoming, professional, and compassionate experience
  • Address and resolve client concerns with empathy and efficiency
Facility & Compliance Management:
You’ll be responsible for maintaining a safe, clean, and compliant hospital:
  • Coordinate building maintenance and cleanliness
  • Ensure OSHA compliance and lead annual safety training
  • Maintain DEA records and storage protocols with the COS and safety team
Inventory & Avimark Expertise:
  • Work with our team to monitor and order inventory as needed
  • Be the go-to expert for all things Avimark—our essential practice management system
Website & Social Media Presence:
  • Keep our website current with seasonal and service updates
  • Maintain regular posts and community engagement on Facebook
